The Great Room seeks an energetic Director of Operations (DOO) who is the leader of the Corporate Operations team and will be looked upon to create operational efficiency of our locations

The Director of Operations will report to the COO and/or CEO, and be an integral player of the Senior Management Team. You will be expected to work closely with senior executives across the company, as well as cross-functionally with leaders of each department and office.

You will be expected to maintain the company brand standards and expectations, develop internal operation processes and systems, lead the pre-opening of new offices, build sustainable relationship with key stakeholders, and support The Great Room’s (TGR) launch into new markets.

The right candidate will have a strong sense of ownership and have excellent problem solving, people and communication skills.

 

What will you do

Be the Corporate Secretary and Legal Liaison

  • Source and work with Corporate Secretariat firms to incorporate entities in each new market that TGR enters
  • Be the liaison with legal partners to review and access all internal documentations (e.g. Membership Agreement) to ensure we meet local regulations
  • Incorporate trademarks as TGR enters new market
  • Ensure relevant license are obtained for each new market

Spearhead our Pre-opening Activities

  • Work with leadership on related Pre-Opening Budget development, Pre-Opening Checklist, Staffing Guide and customization of property training programs
  • Manage and oversee all aspects of TGR’s pre-opening operational activities (including development of F&B program)
  • Work closely with Design and Development Team to review and provide operational feedback (IT, Security, Operation Flow) on each office’s design
  • Work closely with landlord and Country GM during pre-opening period
  • Ensure collection and set up of Building access card, letter box key, mail management, marketing, lift access, lift signage, etc.
  • Work closely with Project Manager, engaged consultants, and Country GM to follow through on on-site activities, including but not limited to:
    • Communicate construction timeline and expected delay to Corporate team
    • Prepare for expected delivery of FF&E
    • Engage and communicate work scope of cleaning and/or facility management company
    • Support recruitment of the opening MROs team
    • Identify, negotiate contracts, and engage vendors and suppliers for OS&E
    • Organize delivery and set up of OS&E
    • Work with Director of IT to engage local IT consultants, and organise IT training
    • Develop contact handbook to be handed over to GM and Team
    • Conduct operations post-construction defects check to collate defects checklist with Project Manager
    • Coordinate all the equipment training slots with Main Contractor together with the opening team

Ensure Operational Success

  • Monitor performance of operations and provide operational direction to deliver budgeted results and maintain industry-appropriate costs, efficiencies and quality
  • Research and implement new systems to improve operational efficiency and member experience
  • Design and implement operational processes and procedures (training manuals and SOPs) to ensure optimal quality performance
  • Support the regional offices and GMs in training and reviewing of TGR systems and SOPs
  • Evaluate regional performance (via audits and surveys). Identify areas for improvement to ensure high member and team satisfaction, and alignment with brand standards
  • Work closely with finance team to ensure accuracy in reporting, ensure we are compliant with local audit requirements, and support GM in bad debt collection process
  • Work with Operations on day to day operational issues and inquiries
  • Maintain and further develop a strong network of vendor/supplier contacts locally. Utilize those contacts to source, initiate, and assess potential for collaboration for new and existing partnerships

 

Who you are

  • The operations guru with minimum 6 years of hospitality or service industry experience in a management role, managing regional team
  • Demonstrated ability to handle multiple projects on short timetables and manage staff resources efficiently and successfully
  • Ability to develop and maintain strong interpersonal relationships with team members, internal and external stakeholders
  • Someone who is ready to get their hands dirty and understands that devil is in the details
  • Gets excited about working with numbers and numerous people across cultures day to day
  • Impeccable and concise communication and presentation skills, verbal and written
  • Demonstrated ability to consistently meet deadlines
  • Strong time management skills and experience managing multiple projects simultaneously
  • Reliable, focused, and detail-oriented
  • Self-directed with a high level of initiative and a ‘can do’ attitude
  • Finds it easy to bridge corporate and start-up culture
